Camp Policies

CAMP POLICIES:

Cancellation Policy:
A non-refundable administration fee of $50.00 will be retained per camper per session. If a camper withdraws from camp less than two weeks from the beginning of their registered session of camp then 50% of the registration fee paid will also be retained. Unfortunately we do not offer refunds for withdrawl less then 5 days before the camp session starts or for 'no shows' for a camp session. If a camper must withdraw for medical reasons a full refund (minus the $50 admin fee) will be issued pending a doctor's note. This refund will only apply if the request and note are provided before the start day of the camp session by emailing [email protected]

Conditions of Enrollment:
Camp Tapawingo provides a safe and nurturing environment to all of our campers, volunteers and staff. Respect and trust are the most important elements of our camp experience. Before you send your kids to camp we ask that you partner with us by talking to your camper about respecting other campers, the staff, camp policies and the camp facilities.  Abusive and/or inappropriate language and actions, harming campers or staff, and destruction of camp property are not tolerated. The parent/guardian will be contacted for immediate pick-up and the camper will be sent home with no refund and potentially billed for damage caused to property. Parents/guardians and campers must read and sign the camper behaviour policy when registering.

​ Cell Phone Policy:
At Camp Tapawingo our goal is to provide a natural setting for our campers to connect in fellowship with each other, to develop independence and have fun while making memories.  We have a no cell phone policy for this reason and because it's also important to ensure privacy for campers and staff as they live together in their cabins. We know that many kids and parents are used to being connected through cellphones these days but it's important that families do not promise that they will contact their campers while at camp. If a camper is struggling with homesickness or anything else,  we will be in touch and together will work out a plan to meet the needs of your camper. Campers are not to bring smartphones, cell phones, smart watches, iPads, iPods music players – any type of technology to camp. If a camper has any of these items we reserve the right to hold the items in the safe for safekeeping until pick-up day. 

Campers with special needs:
While we do our best to accommodate and welcome all campers unfortunately we are not able to accommodate wheelchair-bound campers or developmental special needs that require a personal attendant. We cannot be responsible for finding or financing counsellors/personal attendants for special needs campers. A plan would have to be approved and created in partnership with the camp Executive Director and Camp Board before registering for camp. It would be the responsibility of the camper's family to provide a suitable personal attendant. The attendant would have to provide a recent criminal record check.  A room and board fee of $20 per day will be charged for the personal attendant to cover the cost of food. 

 Campers with severe allergies or special diets:
Tapawingo can not guarantee a completely nut-free environment or any other life-threatening allergies. While we will attempt to limit the exposure of these elements, campers who have life-threatening allergies are advised that they are registering at their own risk. Parents/guardians must indicate on the camper's medical form if they have allergies. Upon arrival at camp, the camp first aider will discuss their allergy with them and their parent. If the allergy is known to be anaphylactic then all camp staff will be made aware. If your camper has an EPIPEN please bring two EPIPENS to camp one will be kept with them at all times and one with the first aider, The child must administer the EPIPEN themselves. Someone may assist the child.

Camper medic check-in policy:
When campers arrive at camp for their session, they will be greeted by the Summer Director, and your contact information will be confirmed, and your camper will get his or her cabin assignment. Any campers who are coming with any medications,  prescription or over-the-counter (even Advil and Tylenol), will be directed to the mess hall to see the medic. Camper's can not have any medications in the cabins. 
If you have any special concerns, conditions or behavioural needs, or anything you want us to be aware of, it is important to visit the medic and help us to understand your child's needs in order to set them up for success at camp.

Please print the Medication Administration Record and fill it out before camp to bring to the medic (this will save time in the lineup up.  There is also a section to make notes for any special concerns or awareness you want to share.
